**Activity in Current Reporting Period 

a)      Projects completed (For example, any procedures, tip sheets, checklists, etc. created during this period):

 

·         Reviewed the Constitution and Bylaws

·         Reviewed the minutes of the Midwinter and Annual board meetings 2002 to 2003 for unfinished business and assignments, identified issues for the Constitution and Bylaws  reported to President, VP/Pres.-Elect

·         Identified issues with the Constitution and Bylaws and worked with appropriate board members for guidance. 

·         Provided a parliamentarian at the January Executive Board and the special called February e-meetings.

·         Updated online version of Constitution and Bylaws with approved changes from spring 2003 ballot election

·         Obtained (wonderful) parliamentarian tools and unprocessed Constitution and Bylaws  change recommendations for future consideration created by 2000 GC Committee from Ann Dykas, 2000 GC Chair and provided to Archives, Handbook Committee, President / VP-President Elect / Past President, GC members.  Note:  Mention was found of these materials in archived minutes, but the actual documents were not in the archives.  Ann was contacted to see if she still had copies, which happily she did, and she graciously shared them with us.

Note:  There were no constitution or bylaws changes identified by the ballot deadline – some potential issues came up during the e-meetings which the next GC may wish to consider and pursue.

b)      Projects in progress but not yet completed:

 

·         It has come to our attention that the 2001 bylaws may not have been incorporated into the official online Constitution and Bylaws version.  We have just obtained the Ballot results for that year to see if the changes were approved by the membership.  We will also review successive ballots/ballot results for 2002 and 2003 to make sure that the 2001 changes were not changed in 2002 or 2003.

·         A parliamentarian will be provided for the Executive Board Meeting(s) at Annual Meeting in June, and any special called meetings.

·         The core file for GC includes a copy of Sturgis and a parliamentarian guide.  Other materials are being prepared for the next GC which will include copies of this year's GC reports, (wonderful) parliamentarian tools created by 2000 GC Committee secured from Ann Dykas, 2000 GC Chair, copy of Constitution and Bylaws, GC Committee description and timeline.

There were issues that came up during the January e-meeting that GC has been advised to suggest for the next GC committee since the ballot process deadlines have passed for this year.  GC is beginning a deliberation process and will provide suggestions when consensus is reached in the Final Committee Report.
