**Goals, Objectives, Projects completed (including, but not limited to, any procedures, tip sheets, checklists, etc. created during the reporting year):

 

Hosted a successful Student Reception at ALA Annual Conference in Toronto, providing an opportunity for library students to meet and network. Presented Student Chapter of the Year Award. Invited representatives from ALA and CLA divisions and round tables to describe the benefits and opportunities of their units, and distribute materials. Provided Resume Review service. Publicized event. Attendees totaled about 50. The following representatives spoke on behalf of their units:

Kenneth Potts, Sec/Treas. Elect of LHRT

Frances Roscello, Vice Pres/Pres Elect of AASL

Shirley Bruursema, Pres Elect of ALTA

Tyrone Cannon, Vice Pres/Pres Elect of ACRL

Manuel Urrizola, ALCTS

 

Additionally, LITA, PLA, RUSA and YALSA left literature. Six units intended to show up but were unable make it.

 

Policies/procedures

*Catering is provided by NMRT funds. Hotels are instructed to place catering charges on the ALA Master Account. If the committee wants to seek future VENDOR support, it must be approved by the NMRT Board

*Timelines for submitting planning, progress and final reports are outlined by NMRT. •Committee chair should request templates

*Student Chapter of the Year Award is presented at the Student Reception

 

Checklist

*Chair - sign up on Planning Group email list and NMRT-Board list

*Chair - send out message to committee members with brief introduction of self and request for introductions of other members. Chair describes what will be needed from committee members and sets rules of communication

*Request room and equipment space

*Create list of ALA Division and Round Table leaders. Invite representatives of

ALA units to attend Reception

*Submit article for Footnotes

*Create promotional flyer

*Work with other committee chairs to promote and publicize event (this year we coordinated efforts with SASCO, Resume Review Service, Orientations)

*Invite ALA division and round table chairs to introduce their units at Student Reception

*Send electronic copies of flyers to CPTF chair, Web chair, SASCO chair, Orientations chair, and other committees as appropriate

*Decide order of events for program and create a flyer for distribution at the reception

*Mail copies of flyers to ALA for pickup at conference location or make copies to take to conference (paper copies of promotional flyer for Orientation packets, paper copies of program flyer for reception event). Use Handouts Budget and Distribution Tools as necessary

 

Tips

*cc all correspondence to Supervising Board member

*Involve, update, and assist committee members

*Set and follow deadlines (finalizing all by Memorial Day weekend works well)

*Make sure beverage selections are listed on menu choices

*50-100 attendees were anticipated at 2002, 2003 Annual conferences

*Think about what students want to know and experience at the conference!

*Monitor materials distributed by ALA divisions and round tables (who left literature? are attendees taking brochures? what is left?) This information could be helpful in letting ALA units know how much literature to leave

*When all is said and done, think about ways to improve for next year

 

**Action Items/Issues To Be Resolved – What plans/projects remain which will be carried over or postponed until next year? Have there been any substantial changes in plans requiring a reconsideration or cancellation of projects? Information regarding such will be helpful for future chairs and planners.
