Committee Name:  Booth Committee

 

Specific Timeline for Year's Activities:

 

Ongoing: Throughout the year, confirm or reject requests for the Traveling Booth.

 

July: Receive materials from previous chair; confirm committee appointments

 

August: Notify committee members of their assignments for the year

 

September: Prepare planning reports; schedule Midwinter meetings of Booth Committee; prepare list of items needed for Booth; prepare wish list of items that require vendor support

 

October: Work with Booth Committee members on committee assignments; Update Booth webpage; Work with other Committees to complete tasks (Handbook Committee and Archives Committee)

 

November: Schedule meeting(s) for Annual conference

 

December: Prepare Midwinter report

 

January: Apply for space in exhibit area for Annual conference

 

Midwinter: Present report at Executive Committee meeting and preside at the Booth Committee meeting (to take place at the All-Committee Meeting time).

 

February: Send results of Midwinter meeting to officers and others as appropriate; send notice to Footnotes. Prepare report of proceedings of Midwinter committee meetings.

 

March: Send letters to NMRT officers and chapters to ask for Booth volunteer staff. Send letters to all NMRT Committee chairs to request handout materials for Booth.

 

April: Send Booth staffing notice to Footnotes; arrange shipping schedule for Booth to Annual conference

 

May: Confirm Booth display for Annual Conference with responsible Committee member; prepare report for Annual conference. Prepare Booth staffing schedule.

 

Annual: Arrive early to set up Booth; staff Booth; dismantle Booth; preside at Committee meeting and Conference Planning Task Force meeting; present report to Executive Committee.
