NMRT Board Member Progress Report

1. Office Name: Secretary

2. Office Term (Date: Ex. 2002-2003): 2002-2003

3. What kind of interaction have you had with your committees thus far this year? What support have you been able to provide them?

I have communicated with the Archives chair (Anna Ferris) and the Handbook chair (Mike Wong) by email and phone in order to discuss various questions, procedures, and directions for the committees.

Archives – Have worked with the chair to help devise procedures for gathering and creating records for all Reports, starting with the Planning and Progress reports. The committee has now created records for all existing 2002 Planning reports, and many of the existing Progress reports. They are now fully searchable on the database.

In addition, have also:

-         upgraded the Archives database search screens to fit better with the new ALA web site style and look;

-         linked the Archives database from the new NMRT web site; can now be accessed from the opening page of NMRT under Related Links, or from the opening Committees page under Section 4 of the Handbook.

Handbook – Have created new structure for the Handbook in the new NMRT web site, and am in the process of converting and transferring content files. Many of these content files are newly revised Committee pages that the Handbook Committee very ably collected from the committees. New tasks, based on the new web revision of the Handbook, will soon be given the Handbook Committee for completion of the newly revised version.

Other projects currently underway or essentially completed:

-         created new relational database for use in storing, archiving, and creating new member records and appointment records. Will be able to provide historical roster information as well as current.

-         created new Conference Volunteer form for use by the Conference Planning Task Force

-         upgraded and revised all report forms/templates for officers and committee chairs

4. What would you still like to accomplish in your office before the end of your term?

-         Finish loading all new member and appointment records in the volunteer relational database;

-         Develop comprehensive tip sheet and procedures sheet for Secretary, which will include, among other things, details for using both the Archives database and the volunteer database. I hope to gather in one easily accessible location all pertinent information necessary for the Secretary to do his/her job in a smooth and efficient manner.
